Tournament Rules & Guidelines

  1. Entering The Tournament
    1. Players must be 18 years of age or older during the calendar year.
    2. If you played on a high school or college team please check the USTA Elite Player Guideline sheet to help determine your level.
    3. Players may enter up to 3 divisions.
    4. Players may only play in a division equal to or higher than their rating.
    5. Players may play mixed doubles with a partner who is no more than 1 rating level higher or lower than their rating.
      (EX: If you are a 3.5 player, you may play with a 4.5 partner in the 8.0 division).
    6. For singles, players can only enter one (1) non-age related singles event. 
    7. Players may enter multiple mixed or gender doubles events but must play with a different partner.
    8. In the men's or women's doubles events, the level of the event will be that of the higher rated partner.
    9. If a player/team won their division in the All-Island tournament held earlier in the year, then they must enter the next highest division in this tournament, if there is one.  (Ex: if you won the 4.0 singles in the All-Island, you need to enter the 4.5 singles in this tournament).
    10. If a player/team did not play in the All-Island tournament held earlier in the year, but won their division last year in this tournament, the committee reserves the right to move the player/team to the next higher division.
    11. The Tournament Committee reserves the right to place players in a different category than their USTA rating.
    12. The Tournament Committee reserves the right to consider a player/team results in other tournaments to help correctly place players.
         
  2. Scheduling Matches
    1. Match scheduling is the player's responsibility.
    2. The Draws will be posted on the website.
    3. All players will also receive an email at the start of the tournament with their 1st round opponent's contact info.
    4. In each subsequent rounds, players will receive an email with their opponents's contact info as the opponent is determined (except Round Robins where all info is send at the start).
    5. Matches must be played by the "Play By" date (deadline) listed at the top of each round.
    6. Matches can be played anywhere that is most convenient for all players. 
      Note: Court Etiquette: If you arrange to play a match at a location where you are a member and the other person has to pay a fee, make sure they know that ahead of time (maybe split the cost :-).
    7. There is no cost for tournament matches played at KBTA.
    8. If players live far away, they should try to find a court that is convenient for both parties.
    9. If a location can not be agreed to, then the match can be played at KBTA as a default.
      When scheduling a doubles match, partners should discuss the dates they are available to play before contacting their opponents.
    10. Players should not depend on Emails to schedule matches.  If an email has gone unreturned for 1-2 days or a deadline is approaching it is best to use the telephone.
    11. Players should contact their next opponent immediately after winning a round.
    12. If a player knows that he/she will be out of town or otherwise unable to play during a period of the tournament, they should make every effort to contact their opponent(s) and schedule their match as early as possible.
       
  3. Scheduling Issues
    1. Each Draw has a Draw Coordinator - listed at the top right of the draw sheet.  Any issues scheduling the match should be directed to this person.
    2. Extensions - for extenuating circumstances only - to play past the posted deadline can only be granted by the Draw Coordinator.  Requests must be made more than 48 hours prior to the deadline.
    3. Coordinators may only extend the deadline by 1 or 2 days, otherwise the decision goes to the default committee.
    4. If the Draw Coordinator is not notified of a problem prior to 48 hours of the deadline, then a coin flip or other factors (who contacted who first, who offered more days, etc) may be used to decide the winner to keep the tournament on schedule.
       
  4. Court Reservations
    1. Court reservations are the players responsibility. 
    2. Reservations can be made at KBTA up to 2 days in advance:
      (305) 361-5263.
    3. If a match is cancelled and was being played at the KBTA courts, the cancellation should be called in to the club so the court can be made available to others.
       
  5. Playing Matches
    1. All Finals will be at KBTA on clay courts.
    2. Matches will be two out of three sets, regular scoring.  A 12-point tie breaker (first to 7 by 2) is played at 6 games all.
    3. The 3rd set will be a 10-point super tie-breaker (first to 10 by 2).  If all players agree, a full 3rd set can played.  This should be decided before the match starts.  All finals will be 3 full sets.
    4. Tie-Breaks will use standard format - switch sides every 6 points.  If all players agree, the USTA Coman tie-break format can be used - play 1 point and switch sides every 4 points.
    5. If there is not enough court time left for a 3rd set and the players cannot re-schedule before the “play by” date, then the 3rd set super tie-breaker should be used.
    6. Each player/team brings a can of balls to the match.  The winners keep the unopened can.
    7. No one is to observe or coach by sitting or standing on the courts.
    8. No beepers or cell phones to be heard on court.
    9. Players should bring their opponent's contact information with them and contact their opponent if they are running late.
    10. Play should begin within 15 minutes of the scheduled match start time.  If a player is more than 15 minutes late and has not contacted the opponent, the missing player can be defaulted.
    11. The player who is at the court should make an attempt to reach the other player before declaring a default.
    12. In the case of a rain delay during the match, play should continue as soon as possible.  Remember the sides and the score - play must resume exactly where it was stopped.
    13. If an issue arises during the match with line calls, behavior, etc, the match can be stopped and the players can contact the draw coordinator to help resolve any issues.  Do not leave the court without trying to contact the draw coordinator.
       
  6. Canceling a Match
    1. If a match is cancelled within 24 hours of when it is to be played and it is before the deadline, then the player/team canceling can be defaulted if the other player/team is not available to play either before the deadline or within a tournament approved extension.
    2. If a re-scheduled match is cancelled, then the player/team canceling will be defaulted if the other player/team is not available to play either before the deadline or within a tournament approved extension.
    3. If a match is cancelled and it is already being played after the deadline, then then the player/team canceling will be defaulted unless the other player/team is willing and available to play at a later tournament approved date.
       
  7. Reporting Scores
    1. The winner should report the score as soon as possible after the match is complete.
    2. Results should be posted online and will be reflected immediately on the website (except Round Robins which will be posted as soon as possible).
       
  8. Tie Breaker for Round Robin standings
    1. The player/team with the best match win/loss record wins the round robin.
    2. If two players/teams have the same number of match wins then if one player/team played more matches, they are the winner.
      (example: a 2-2 record beats a 2-1 record)
    3. If 2 players/teams have the same match win/loss record, then the player/team that won when they played head to head wins.
    4. If 3 players have the same match win/loss record, then the player/team with the best Set Winning % wins (total sets won/total set played).
    5. If there is still a tie, then the player/team with the best Game Winning % wins (total games won/total games played).
       
  9. Finals
    1. Courts will be reserved by the tournament.
    2. Balls will be provided.
    3. All finals matches will be played on or before the Saturday and Sunday of finals weekend.
